Conference Visa Information for International Participants

We warmly welcome international participants to attend the 71st Annual Conference of the Indian Orthopaedic Association – IOACON 2026 in Ahmedabad, India.

All international participants will need to apply for an e-Conference Visa, unless they already have an appropriate visa in place.

Please find below detailed information regarding the Conference Visa application process, required documents, and necessary government permissions.

1. Conference Visa Application Process

The Government of India provides an online e-Conference Visa facility, which can be accessed through the official portal:

Applicants should select the appropriate e-Conference Visa category and carefully complete the online application form. It is advised to apply well in advance of your intended travel dates.

Here is a step-by-step guide to apply for an online e-Conference visa:

Click here to submit a form to enable Rx Events to apply for MEA clearance on your behalf. The following details and documents must be submitted by 30-Sep-2026:
Full name (as per passport)
Nationality
Place of birth
Date of birth
Passport number
Scanned copy of passport (bio-data page to be uploaded)

Wait for Rx Events to apply for MEA clearance after 30-Sep-2026.

Meanwhile, book your flights, as you will need to upload proof of onward travel when you apply for your visa.

Once Rx Events has received MEA clearance, Rx Events will send you a Personal Letter of Invitation.

Apply for a Conference Visa using the required documents listed below.

Wait for your visa application to be approved. We are advised that this should happen within 3–4 days.

NB: If you did not register and upload your passport page by 30-Sep-2026, you will not be included in the initial application for MEA clearance. In this case, contact Rx Events directly to request MEA clearance at rahul@rxevents.co.in.

2. Documents Required for Conference Visa

Valid passport with at least six months validity from the date of arrival in India
Recent passport-size photograph (as per specifications on the visa portal)
Scanned copy of passport bio-data page
Ministry of Home Affairs (MHA) permission letter Download Here
Personal invitation letter for the conference .NB.(this will be sent by Rx Events following MEA clearance)
Proof of return or onward travel. NB. This means you need to have booked your travel prior to applying for your visa
Any additional documents as requested by the Indian authorities

3. Ministry of Home Affairs (MHA) Permission

Rx Events has received the requisite permission from the Ministry of Home Affairs (MHA), Government of India, for organizing this international conference. The official MHA permission letter is available (download here) and must be attached by participants while applying for the e-Conference Visa.

4. Ministry of External Affairs (MEA) Clearance - Individual Requirement

Please note that Ministry of External Affairs (MEA) clearance is required on an individual basis for each international participant. To enable Rx Events to process MEA clearance on your behalf, participants must share the required details at least 30 days prior to the conference dates.

Failure to provide the above information within the stipulated timeframe may result in delays or inability to obtain the necessary clearance, which could affect visa approval.

5. Important Advice

Visa approval is subject to the discretion of the Government of India. Participants are advised that they must book their travel (for proof of return or onwards travel) but they are strongly advised not to make irreversible travel arrangements until their visa has been officially approved.
